EddyAI™ checks your institution's SFTP folder on a fixed schedule rather than the moment a file lands. This article explains when those checks happen, how many files are picked up each time, and how to time your uploads so transcripts start processing as soon as possible.
Standard Pickup Schedule
For batch ZIP uploads, EddyAI™ checks your SFTP folder twice a day. High School and College transcripts run on separate schedules:

Note
The schedule is set in UTC, so the local time shifts by one hour when daylight saving time begins or ends. Your implementation team can confirm the exact schedule configured for your institution.
One ZIP per Pickup
Each scheduled pickup processes one ZIP file per transcript type. If several new ZIPs are waiting, EddyAI™ takes the most recently uploaded one and leaves the rest for the next pickup. It keeps a record of every ZIP it has already processed, so a file is never picked up twice.
Warning
Uploading three High School ZIPs at once means the third one will not start processing until the third pickup — about a day and a half later.
When to Upload
Because pickups run on a schedule, a ZIP uploaded a few minutes after a pickup waits roughly twelve hours for the next one. To get the fastest turnaround:

Finish your upload at least 30 minutes before the scheduled pickup so the transfer is fully complete when EddyAI™ checks the folder. |

Combine all transcripts of one type into a single ZIP per pickup window. |

Check your review queue after the pickup. Records appear marked Ready for Review as each transcript finishes processing. |

When Results Are Sent Back
Once records are approved and sent to crm, EddyAI™ writes a CRM export file back to your SFTP folder on its own schedule:
- High School: Approved records are exported every 2 hours.
- College: Approved records are exported every 30 minutes.
Common Questions
My ZIP was there before the pickup but nothing happened. Why?
The most common causes are a filename missing the required high_school or college keyword, a ZIP that was still uploading when the pickup ran, or a ZIP with the same name as one already processed. See How the SFTP Transcript Process Works for the file requirements.
Can I re-upload a ZIP to have it processed again?
Not under the same filename — EddyAI™ remembers every ZIP it has processed and skips it. Give the file a new name, or contact Support if you believe a batch needs to be re-run.
Can the pickup schedule be changed for my institution?
Pickup schedules are shared across institutions. Currently, the pickup schedule is not customizable.
